Your team’s schedule, in one place.

A complex calendar made simple, with custom dynamic views.

Free plan, no card needed.

Before: two spreadsheets, an email thread, a chat and a calendar
After: one Kapcal board

Everyone needs a different view.

Month, week, day, agenda or timeline. Show one category on its own, hide another, filter by owner or status. Your view never changes anyone else’s.

Calendar, agenda and timeline views

The client keeps asking for the schedule.

Save a view for each team and share it as a read-only link. They see their dates, not your notes, and it’s always current.

How sharing works

The deadline moved.

Stretch one task and everything after it slides to the next working day, only as far as it needs to. Locked deadlines hold, turn red, and tell you why.

How the workflow timeline works

What’s on this week?

The agenda lists what’s coming, day by day. Tick things done, drag one to another day, search for anything.

More about the agenda

Every project is unique.

Shape each one your way: nest categories, keep each film or client in its own project, and duplicate a project to start the next.

Projects, categories and dragging

The schedule came as a PDF.

Hand the PDF, spreadsheet or email to Claude or ChatGPT and ask it to put the dates on your board. It shows you what will change before anything does, and a revised version updates the same items. Every import can be undone.

AI assistants and the API

Dates live in five places.

Two-way sync with Google Calendar, Outlook and Asana, and calendar feeds for everything else. Change a date once.

Shown with a post-production schedule

Our demo board follows a documentary from assembly to delivery: edit, VFX, colour, sound and a locked delivery date. Swap in a product launch, an event season or a building project: the board works the same way.

Questions

All questions
Who is it for?

Any team that plans with a calendar: production and post-production companies, agencies, studios, event teams and project teams. Our examples come from post-production.

Is there a free plan?

Yes. The Free plan has no time limit and needs no card. Paid plans add boards, editors and AI assistants, and Pro adds two-way sync; both start with a 14-day trial. See Pricing.

Is the Workflow view a Gantt chart?

It’s a Gantt-style timeline with phases, dependencies, milestones, locked deadlines and the critical path, built on the same items as your calendar, so there’s one plan instead of two.

Can I bring in my current schedule?

Yes: import a CSV or iCal file, subscribe to a calendar by its link, connect Google Calendar, Outlook or Asana, or hand a PDF or spreadsheet to an AI assistant.
