Short answers about Kapcal. For how-tos, see the help guide; for anything else, write to us.
What is Kapcal?
A shared schedule for teams: one board of dated items you can see as a calendar, an agenda or a workflow timeline. Everyone works from the same dates, and each person picks their own view.
Who is it for?
Any team that plans with a calendar: production and post-production companies, agencies, studios, event teams and project teams. Our examples come from post-production.
Is there a free plan?
Yes. The Free plan has no time limit and needs no card. Paid plans add boards, editors and AI assistants, and Pro adds two-way sync; both start with a 14-day trial. See Pricing.
Do viewers pay?
No. People who only look at a board are free on every plan, and read-only links need no account at all.
Is the Workflow view a Gantt chart?
It’s a Gantt-style timeline with phases, dependencies, milestones, locked deadlines and the critical path, built on the same items as your calendar, so there’s one plan instead of two.
Can I bring in my current schedule?
Yes: import a CSV or iCal file, subscribe to a calendar by its link, connect Google Calendar, Outlook or Asana, or hand a PDF or spreadsheet to an AI assistant.
Can an AI assistant fill in the schedule?
Yes, on the Plus and Pro plans. Connect Claude or ChatGPT by signing in to Kapcal from it (or your own script with a key), then give it a PDF, a spreadsheet or an email: it shows you what it would add and change, and puts the dates on the board once you agree. Every import can be undone. See how to connect.
Does it work on phones?
Yes. Kapcal works in any up-to-date browser and installs on your phone’s home screen like an app.
Is Kapcal in French?
Yes. The app, its emails, the help guide and these pages are in English and French; each person picks their language.
Where is our data stored?
On servers in the United States. You can download all your data, or delete your account or organization, whenever you like. See the Privacy Policy.
What if two people edit at the same time?
Changes from others appear within seconds. If two people change different parts of the same item, both changes are kept; if they change the same part, the second person is asked to check before saving.
Put the whole schedule on one board.
Free plan, no card needed.
